Reimbursement

Getting ClauseLine reimbursed

Residency educational allowances commonly run $500–$2,500 per resident per year. ClauseLine is $97 to $197. For most physicians the question is not whether the fund is large enough — it is whether the paperwork is clean enough to approve without a follow-up email.

So the paperwork is done for you: an itemized receipt with the seller entity, address, and federal tax ID on it, plus a pre-filled request letter addressed to your coordinator or administrator.

How ClauseLine is categorized

ClauseLine is an educational resource, not accredited CME. It is not an accredited continuing medical education provider and it awards zero credit hours. If your fund can only be spent on credit-bearing activities, ClauseLine will not qualify — and you should know that before you buy, not after.

Most funds are broader than that. CME stipends, book allowances, and professional-development budgets commonly cover educational materials and resources that carry no credit: board-review texts, question banks, practice-management courses, coding references. ClauseLine sits in that category — contract-literacy material for physicians evaluating employment terms.

The submission line that works: an educational resource on physician employment contract terms, purchased for professional development. That is accurate, and it is what the receipt says.

What these funds typically cover

Terms vary by program and employer. These are the four buckets ClauseLine purchases are usually submitted against.

Resident and fellow educational allowance
Typical range $500–$2,500 per year. Usually written to cover books, review courses, board prep, conferences, and educational materials.
Attending CME and professional-development allowance
Set by your employment agreement or benefits summary. Most allowances name educational materials and professional-development resources alongside conference travel.
Departmental book or education fund
Often administered by a program coordinator or department manager against a submitted receipt, with no pre-approval required below a dollar threshold.
Program-purchased access
Some programs buy access centrally for a whole class instead of reimbursing residents one at a time.

Coverage is set by your own policy, not by us. Read your allowance terms or ask your coordinator before purchasing if you are unsure.

What to submit

Two documents clear most requests. The third only if your program requires its own form.

1
The itemized receipt
Seller legal entity, business address, federal tax ID, receipt number, purchase date, itemized line with a plain description of what was delivered, amount paid, payment method, and an explicit zero balance. Find it on your dashboard under Purchase History, then use Print → Save as PDF.
2
The reimbursement request letter
Pre-filled with your product, amount, purchase date, and receipt number. Resident/fellow and attending versions. Copy it into an email or print it. It sits one click from your receipt.
3
Your program or employer form, if one exists
Many programs want their own expense form attached. The receipt supplies every field those forms ask for, including the tax ID.

If your administrator asks

Is this accredited CME?

No. ClauseLine is not an accredited continuing medical education provider and awards zero credit hours. It is an educational resource — contract-literacy material — in the same category as a board-review text or a practice-management course. Many employer CME, book, and professional-development allowances cover educational resources of that kind, but coverage is set by your own policy. Check your policy before you buy.

Can we get a W-9?

Yes. Email ops@clauseline.com and a completed W-9 for the selling entity will be sent the same business day. The seller legal name, business address, and federal tax ID are already printed on the receipt.

Can the program buy for multiple residents instead of reimbursing each one?

Yes. Program-level purchasing exists precisely so a coordinator can handle one invoice instead of twenty reimbursements.

What exactly was delivered for the money?

A written, clause-by-clause review of a physician employment agreement — compensation structure, productivity terms, call and coverage obligations, termination provisions, and restrictive covenants — benchmarked against published specialty compensation data, plus a counter-proposal letter draft and unlimited written follow-up questions. The receipt states this in full on its itemized line.

What if reimbursement is denied?

Every purchase carries a 7-day refund window, no questions asked. If your fund will not cover it, email billing@clauseline.com within 7 days.
